The Brain Dump: Putting “to-do” Lists into Action

 

Many people have to-do lists which get longer and longer every day. What most to-do lists really represent are disorganized, non-prioritized accountings of all the items that are floating around in our heads on any given day. The only problem is: how to get the items off our lists and into action!

The first step is to do what I call a brain dump. Sit with a blank pad of paper, and write down absolutely everything that is in your brain as an uncompleted action; in other words, all the undone items that are keeping you awake at night. Initially write everything down without regard to relative importance or when it will get done. After that, go down the list and mark everything in terms of its importance (say, numbered 1 through 5). Truly urgent tasks or items with deadlines attached must come first, and after that, tasks that are not urgent but which are most important to you. You may need to evaluate each item carefully to determine its importance in your life.

After prioritizing your to-do list, it is then time to turn the items into action tasks by writing them into your calendar. Once they are out of your head, on to the list and into the calendar, you have a framework in space and time for getting things done. The trick is to consult your calendar for action items at least once a day, and definitely before scheduling any new appointments. Doing this process can also be a very effective time management tool and a way to avoid over-commitment.

As each item is entered into the calendar, cross it off your list. Whether you keep your list on computer or on a piece of paper, give yourself the satisfaction of making a new list once a week so that you can see the progress you have made. Any items that did not get scheduled can be carried over onto the new list. Enjoy your fresh start!
