Mastering Your Snail Mail in 3 Simple Steps

In this 21st century information age, most of us are inundated with mail, paperwork, email, and incoming info of all sorts. The only ways to save ourselves from drowning in paper are either to move to a desert island (without our laptop and Blackberri!) or to develop systems to handle the flood of information.

  • The most important first step is to only let essential mail get past your door and into your office.  

Put a recycling bag or bin as close to where the mail comes in as possible, and on a daily basis, sort the incoming mail over your bin. Discard all junk and scan quickly anything you need to read to see if it can be tossed afterwards. Shred any papers containing personal information. You can’t be too careful in avoiding identity theft.

 
  •  Set aside a time each day or every few days to go through the remaining mail, and as you do so, sort it into categories: Invitations and upcoming events, catalogs, newsletters, correspondence, etc. There are various tools that can work as systems for storing and accessing these categories. Bulletin boards can be used to post events, as long as they are cleared off regularly.

You can set up a simple ‘tickler file’ system for time-dated paperwork, utilizing file folders or clear plastic envelopes to correspond to dates or to projects. Newsletters and catalogs should be set aside in baskets, large folders, or binders for reading at leisure or while traveling. Be sure to toss them out when outdated. Organizing systems need to be tailored to the person, as no one system works for everyone.

So clean up your paperwork, recycle a lot, and make room for new projects and productivity in your life!
